Define the packed parcel before asking for a price
Finish the item list and packing choice first. Then record packed piece count, actual mass, package dimensions, chargeable-weight method, origin, destination, route or service, delivery scope, included and excluded fees, restrictions, and quote date. Compare only quotes built from the same shipment record.
Catalog dimensions and bare product weight are not a shipping quote.
Define the shipment before requesting a price
| Field | Record | Why it changes the quote |
|---|---|---|
| Contents | Codes, options, quantities | Different items change mass and restrictions |
| Packing | Boxes, protection, consolidation | Changes mass and volume |
| Actual mass | Packed kg and measurement date | May become chargeable weight |
| Dimensions | Each packed parcel L × W × H | Used for volumetric calculation |
| Route | Origin, destination, service | Price, time, and rules differ |
| Fee scope | Included taxes, handling, delivery | Prevents incomplete totals |
Understand actual and volumetric weight
Many services compare actual packed mass with a volumetric figure based on parcel dimensions and use a chargeable value under their own rules. Divisors, rounding, minimums, and oversize thresholds vary by carrier, route, and service, so do not reuse a formula without confirming the current method.
Ask for the actual dimensions and the calculation shown. A lighter but bulky parcel can cost more than a compact heavier parcel.
Place quotes side by side
| Comparison field | Quote A | Quote B |
|---|---|---|
| Shipment version / date | [value] | [value] |
| Packed mass / dimensions | [value] | [value] |
| Chargeable basis | [method] | [method] |
| Route / service | [value] | [value] |
| Delivery estimate | [range and basis] | [range and basis] |
| Included / excluded fees | [details] | [details] |
| Restrictions / claims process | [details] | [details] |
If one row differs, explain the difference before treating the totals as alternatives.
Request the quote with the shipment version
Keep taxes, duties, insurance, remote-area fees, address correction, storage, return, and customs-related services explicit rather than assuming they are included.
Refresh when the shipment changes
Request a fresh quote after quantity, box, protection, consolidation, address, route, carrier, declared contents, battery status, or packed dimensions change. Two numbers are not comparable when they use different parcels or delivery scopes.
Pause if the provider will not state the service, chargeable basis, fee scope, or restrictions. Delivery times and customs outcomes are estimates and cannot be guaranteed by this guide.
